Cutting Restaurant No-Shows With Automated Confirmations: A Playbook
How confirmation and reminder sequences reduce empty tables, how to set them up without annoying guests, and how to work out what no-shows cost you.

A reserved table that stays empty costs a restaurant the covers, the prep and often a walk-in who was turned away. Most of the fix is not clever AI. It is a confirmation sequence that runs every time, plus a way to release tables that will not be used.
Work out what no-shows cost you
Count no-shows for four weeks. Multiply by your average party size and average spend per guest. Illustration: 12 no-show tables a week, 3 guests each, $45 per guest is about $1,600 a week in covers you prepared for. Your numbers will differ; the method is the point.
The sequence
- Instant confirmation with the date, time, party size and a one-tap way to change or cancel.
- A reminder the day before asking the guest to confirm.
- A short same-day nudge by text, where the guest agreed to texts.
- A release rule for unconfirmed tables at busy times: offer them to your waitlist at a set hour, and say so in the booking terms.
Most reservation platforms can already send the first three. AI earns its place in the parts that need language: answering replies ("can we make it five people?"), handling the waitlist conversation, and spotting patterns in which bookings tend not to show.
Do it without annoying guests
- Keep messages short and useful, and never more than three per booking.
- Get consent for text messages and include a way to opt out.
- Keep large parties and regulars on a personal call if that is how your house works.
Measure it
Track the no-show rate, the share of cancelled tables refilled, and the hours staff spend on confirmation calls, for four weeks before and after.
Practical takeaway: Turn on the confirmation and reminder features your booking system already has this week, then decide whether the reply-handling needs AI at all.
